This Privacy Policy explains how PIXELFORCE SYSTEMS PTY LTD (ACN 162 114 696) ("PixelForce", "we", "us" or "our") collects, holds, uses and discloses your personal information, and how you can access or correct it, or make a complaint. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1.The kinds of personal information we collect
Depending on how you interact with us, the personal information we collect and hold may include:
- Contact and enquiry information - your name, email address, phone number, company, role, and the content of any enquiry or correspondence, when you contact us or request information about our services.
- Client and project information - information provided by our clients and their personnel in the course of delivering a project. In most engagements, the client's and end users' data is hosted on the client's own infrastructure (for example, the client's own cloud account), and we access it only to the extent needed to deliver the agreed services.
- Recruitment information - if you apply for a role with us: your name and contact details, CV, work history, qualifications, references and related information.
- Supplier and contractor information - contact and payment details of our suppliers, contractors and business partners.
- Technical and usage information - device and browser information, your IP address, and information about how you use our website, collected through cookies and analytics tools. Some of this information, including your IP address, may be personal information, and we treat it accordingly.
We do not collect sensitive information (such as health information) about visitors to our website. Where we work on projects in sectors such as healthcare, fitness and wellness, any health or other sensitive information involved is handled on our client's behalf, generally on the client's own infrastructure, and in accordance with our agreement with that client. We do not collect it for our own purposes.
2.How we collect your personal information
We collect personal information in a number of ways, including:
- directly from you - when you complete a form on our website, email or call us, engage us for services, apply for a role, or otherwise correspond with us;
- automatically - through cookies and analytics tools when you use our website (see Cookies and analytics below); and
- from third parties - such as our clients, recruitment agencies, referees and publicly available sources, where relevant and permitted by law.
Where it is reasonable and practicable, we collect personal information directly from you. If we collect your information from a third party, we take reasonable steps to make you aware of the matters set out in this policy.
3.How we hold and protect your information
We hold personal information in secure, access-controlled electronic business systems and, where relevant, in physical records. Personal information relating to our clients' projects is, in most engagements, held on the client's own infrastructure rather than ours.
We maintain organisational and technical security measures designed to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. We retain personal information only for as long as it is needed for the purposes described in this policy, or as required by law, and we take reasonable steps to destroy or de-identify personal information when it is no longer needed.
4.Why we collect, hold, use and disclose your information
We collect, hold, use and disclose personal information for the following purposes:
- to respond to your enquiries and provide the information you request;
- to provide, manage and deliver our products and services, and to communicate with you about them;
- to manage our relationships with clients, suppliers and contractors, including billing and payment;
- to recruit and assess candidates for employment or engagement;
- to operate, maintain, secure and improve our website and services;
- to send you marketing communications about our services, where you have not opted out (see Direct marketing below);
- to comply with our legal obligations and to establish, exercise or defend legal claims; and
- for any other purpose you would reasonably expect, or to which you have consented.
We will only use or disclose your personal information for a purpose for which it was collected, for a directly related purpose you would reasonably expect, or as otherwise permitted or required by law.
5.Who we disclose your information to
We may disclose personal information to:
- service providers who help us operate our business and deliver our services, including cloud hosting and IT providers, our customer-relationship and marketing platform, email and collaboration tools, project-management tools, and analytics providers;
- subcontractors and contractors we engage to help deliver a project (who are bound by confidentiality, security and equivalent obligations);
- payment providers, to process payments;
- our professional advisers, such as lawyers, accountants and insurers;
- our clients, where the information relates to a project we are delivering for them;
- government agencies, regulators or law enforcement, where required or authorised by law; and
- a purchaser or successor, in connection with a sale or restructure of our business.
We do not sell your personal information.
6.Disclosure of information overseas
We use a range of cloud-based service providers, and because our providers may change from time to time, it is not always practicable to specify every country in which personal information may be stored. Personal information is most likely to be disclosed to recipients in the United States. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles.
Some of our personnel and contractors are located outside Australia. We involve overseas personnel in delivering a client engagement only where this has been agreed with the relevant client as part of the service model for that engagement. Where personal information is accessed by personnel located overseas, we remain responsible for it and take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
7.Cookies, analytics and third-party websites
Our website uses cookies and similar technologies to help it function, to remember your preferences, and to understand how the site is used so that we can improve it. We use analytics, marketing and tracking tools, such as Google Analytics, HubSpot and advertising pixels (for example, the Meta pixel). This is not an exhaustive list, and the tools we use may change from time to time. Some of these tools are provided by third parties who may collect information directly through your browser and handle it in accordance with their own privacy policies. Some information collected through these tools, including your IP address, may be personal information. You can control or disable cookies through your browser settings, although some parts of the website may not function properly as a result.
Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those websites, and we encourage you to review their privacy policies before providing any personal information.
8.Direct marketing
Where you have not opted out, we may send you marketing communications about our services. Every marketing message we send includes a simple way to opt out, and you can opt out at any time by using the unsubscribe link in the message or by contacting us using the details below. We action opt-out requests promptly.
9.Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, contact our Privacy Officer using the details in Section 12. We will respond within a reasonable time, generally within 30 days. There is no fee for making a request, although we may charge a reasonable fee for giving access in some circumstances. If we refuse access or correction, we will tell you why in writing and how you can complain.
10.Your privacy rights
Under the Privacy Act 1988 (Cth), you have the right to access, and to seek correction of, the personal information we hold about you, as described in Section 9. Australian privacy law does not provide a general "right to erasure". However, we destroy or de-identify personal information when it is no longer needed, and you may contact us at any time to discuss the information we hold about you.
11.How to make a privacy complaint
If you have a concern or complaint about how we have handled your personal information, please contact our Privacy Officer using the details in Section 12. Please describe your complaint and how you would like it resolved. We will acknowledge your complaint promptly and aim to respond within 30 days. If we need more time, we will let you know.

We may update this policy from time to time to reflect changes in our practices or our legal obligations. The current version will always be available on our website, and the "last updated" date above shows when it was last revised.
14.Automated decision-making
We use artificial intelligence and automation tools to help us run our business and deliver our services. Where these tools are used in a way that could affect an individual, a member of our team makes or reviews the decision. We do not make decisions that could significantly affect you by solely automated means.
